Privacy Policy — SmartHighlights

This Privacy Policy explains how SmartHighlights ("SmartHighlights," "we," "us," or "our") collects, uses, and discloses information when you use the SmartHighlights sports video platform, our website at https://smarthighlights.ai, our applications, and related services (collectively, the "Service").

A defining feature of SmartHighlights is that we do not store your video recordings. Your videos remain on your own devices or in your own cloud storage (such as your Google Drive). This Policy explains what we do collect — primarily account, billing, and usage information — and how the video content is handled.

By using the Service, you agree to this Policy. If you do not agree, please do not use the Service.

1. Who we are and our role

SmartHighlights provides software that lets coaches, clubs, colleges, and event operators record, manage, stream, and share sports video using mobile devices.

Our role depends on the data:

For account, billing, and usage data, we determine how that information is handled.
For video content that you record and store on your own devices or your own cloud, that content stays in your custody and control. Where a future feature involves us processing your video on your behalf (for example, AI highlights or streaming relays), we do so only on your instructions, and you (the coach, club, college, or operator) remain responsible for the individuals recorded.

2. Information we collect

Information you provide

Account and sign-up information: name, email address, and phone number (e.g., via the sign-up or "Ask a Question" forms).
Billing information: subscription details and the number of recording devices. Card payments are handled by our payment processor; we do not store full card numbers.
Communications: the contents of messages, support requests, and pilot-program correspondence.
Organization details: club, college, team, or facility information you provide during onboarding or deployment.

Information we collect automatically

Device, browser, and operating system information.
IP address and approximate location derived from it.
Usage and diagnostic data — features used, camera/recording status events, errors, and log data needed to operate the remote-control and dashboard features.
Cookies and similar technologies on our website (see our Cookie Policy).

Video content and recordings

You control where your recordings are stored — on your devices or in your own cloud storage (e.g., Google Drive). We do not retain copies of your video content in a SmartHighlights cloud. Depending on the feature you use, limited recording metadata (such as filenames, timestamps, duration, device/court identifiers, and storage status) may pass through or be processed by the Service to enable management, remote control, and live streaming.

Information from integrations

If you connect a third-party service such as Google Drive, we receive the limited information needed to enable that integration (for example, authorization tokens and the ability to write recordings to a folder you designate). See Section 5.

3. How we use information

We use information to:

Create and manage your account and authenticate you.
Provide core features — recording management, remote camera control, status dashboards, and live streaming.
Process subscriptions and payments.
Respond to inquiries, provide support, and administer the pilot program.
Maintain security, prevent fraud and abuse, and troubleshoot.
Analyze and improve the Service, including developing planned features such as AI highlights, summaries, transcripts, and analytics.
Send service and administrative messages, and — where permitted — product updates and marketing (you can opt out).
Comply with legal obligations and enforce our terms.

4. Children's privacy and recordings of minors

Youth and school sports often involve minors. Please read this section carefully.

Our accounts are for adults. The Service is intended for coaches, clubs, colleges, and event operators who are 18 or older. We do not knowingly create accounts for, or knowingly collect personal information directly from, children under 13, consistent with the Children's Online Privacy Protection Act (COPPA).
You are responsible for consent. If you record, store, stream, or share video that includes minors, you are responsible for obtaining all required permissions and consents — including from parents or legal guardians — and for complying with applicable laws, school/league rules, and venue policies. Because the video stays in your custody, you control who can view and access it.
Our role. We do not store the recordings and do not use footage of identifiable individuals for our own purposes. Where a future feature processes your video on your behalf, we do so only under your instructions.
If you believe we have inadvertently collected personal information from a child under 13 in violation of this Policy, contact us at contact@smarthighlights.ai and we will take appropriate steps to delete it.

5. Third-party services

The Service relies on third parties, which may include our hosting and infrastructure providers, our payment processor, our email and analytics providers, and Google Drive (where you choose to store recordings in your own Drive). Each provider processes data under its own privacy policy.

Google API disclosure. Our use and transfer of information received from Google APIs adheres to the Google API Services User Data Policy, including its Limited Use requirements. We access your Google Drive only to store and manage the recordings you direct us to, and we do not use that data for advertising or sell it.

6. How we share information

We do not sell your personal information. We share information only:

With service providers acting on our behalf (hosting, payments, analytics, communications), under confidentiality and security obligations.
At your direction, such as when you store recordings in your own Google Drive or share them with players and parents.
For legal reasons, where required by law or to protect rights, property, or safety.
In a business transfer (merger, acquisition, financing, or sale of assets).

7. Data retention

We keep account, billing, and communications data for as long as your account is active and as needed for legal, accounting, and operational purposes, then delete or anonymize it. Because your video content is stored by you, its retention is under your control; we do not retain it on your behalf except as needed to deliver a feature you have enabled.

8. Data location and security

We operate in the United States, and your information is processed there. We use reasonable technical and organizational measures to protect the information we hold. Because you control your own video storage, you are responsible for securing your devices and cloud accounts (for example, using strong passwords and access controls on your Google Drive). No system is completely secure, and we cannot guarantee absolute security.

9. Your rights

You may request to access, correct, or delete the personal information we hold about you, and you may opt out of marketing communications at any time.

California residents. Under the California Consumer Privacy Act, as amended (CCPA/CPRA), you have the right to know, delete, and correct your personal information, and to opt out of its "sale" or "sharing." We do not sell your personal information. You will not be discriminated against for exercising these rights.

To exercise any right, contact contact@smarthighlights.ai. We may need to verify your identity and will respond within the time required by law.

10. Changes to this Policy

We may update this Policy from time to time. We will post the updated version here and revise the "Last updated" date, and will communicate material changes through the Service or by email where appropriate.
